Search and Maintain Accounts
Use the Search and Maintain Accounts page to view details for accounts to which you have access. This page allows you to perform the following tasks:
You can search for accounts by acronym. You can also create a list of acronyms (specific to your user ID) by which to search. You can perform a simultaneous search of up to 25 specific accounts.
- Select the Accounts tab.
- Select Acronym or Acronym List from the Search for drop-down.
- Enter an acronym by which to search or select an acronym list or search for one.
- Enter a full or partial access code by which to filter results (optional)
- Select a country and security by which to filter results or select ALL.
- Click Search.
ALERT returns a list of all accounts that match the search criteria. Results include the account acronym, access code, short name, cross-referenced BIA# (if one exists), country, and security.
- To filter the list to include only cross-referenced accounts, select the X-Ref option. To filter the list to include only accounts without cross-references, select the Non-X_Ref option.
You can return accounts for multiple acronyms and access codes that you specify on the Search and Maintain Accounts page. You can insert a maximum of 25 rows at a time for a single search.
- Expand the Searching for Multiple Acronyms and Access Codes group.
- In row 1, enter an acronym or search for one.
- Enter an exact access code by which to filter results.
Another row appears.
- Select a country and security by which to filter results.
- To include additional acronyms in the search, repeat steps 2-4 in the new rows that appear.
- Click Search.
Use this option to search for cross-referenced accounts by BIA # or by a list of BIA numbers. Cross-references are links you create between a Broker Internal Account Number (BIA#) and an investment manager’s ALERT acronym and access code or market (country and security). After you cross-reference a BIA# to an investment manager account access code, you can perform account searches using the BIA#.
You can create a single cross-reference for an account. You can also create multiple cross-references for a single access code, each one representing a unique country-security combination. For example, you can create one cross-reference for the account's US equities and a separate one for the account's UK equities. You can also create a list of BIA numbers (specific to your user ID) by which to search.
- Select the Accounts tab.
- Select BIA # from the Search For drop-down list.
- Enter a BIA # with which to search accounts, or select a BIA list.
- Optionally, select a county and security or select ALL to include all countries or securities in the search.
- Click Search.
ALERT returns a list of cross-referenced accounts.
- Select the Accounts tab.
- Select BIA # from the Search For drop-down list.
- Expand the Search For Multiple BIA Numbers group.
- Enter a full BIA number by which to search in the BIA# field.
- Optionally, select a county and security or select ALL to include all countries or securities in the search.
- To include additional BIA numbers in the search, repeat steps 2-4 in the new rows that appear.

Cross-references are links you create between a Broker Internal Account Number (BIA#) and an investment manager’s ALERT acronym and access code and market (country and security), if chosen. Once you have cross-referenced your BIA# to an investment manager account access code, you can perform account searches using the BIA#.
You can create a single cross-reference for an account.
You can also create multiple cross-references for a single access code, each one representing a unique country-security combination. For example, you can create one cross-reference for the account's US equities and a separate one for the account's UK equities. You must have read/write access to create, edit, and delete cross-reference information on ALERT accounts.
Creating a Cross-Reference
- Use global or account search functionality to locate accounts.
Accounts without a cross-reference BIA # contain a Create BIA # button next to the BIA # text box.
- Click Create BIA # for the account for which you want to create a cross-reference.

Enter a value in the BIA # text box.
Notes -
BIA numbers have a maximum length of 20 characters, including case-sensitive alphabetic characters, numbers and all special characters supported by ASCII printable characters set other than the following:
- Quotation mark ‘ “ ‘
- Percentage sign ‘%’
- Left parenthesis ‘(‘
- Right parenthesis ‘)‘
- Equal to ‘=’
- Left curly brace ‘{‘
- Vertical bar ’|’
- Tilde ‘~’
- A numbers cannot include leading spaces. If you enter a BIA# with a leading space as the first character, ALERT removes this spaces and saves the BIA# without it.

- Select a security/country combination to which the cross-reference applies. To apply to all countries/securities, select ALL from the drop-down lists.
- Click the icon next to the Add text box to create additional cross-references for the account.
- Repeat steps 3 and 4 for each country/security combination for which you want to create an account cross-reference. You can maintain multiple BIAs for each account, as long as they are unique combinations.
Viewing Cross-Reference Details
- Use global search or account search to locate an account.

Click a link in the BIA # field, or select the check boxes next to accounts whose cross-reference details you want to view, and then click View X-Reference or click the link in the Create BIA # text box.
The View Account X-Reference page displays the account acronym, access code, BIA #, Country and Security for the cross-referenced accounts.
Saving Cross-Reference Details for a Single BIA # to a PDF Report
- Use global or account search functionality to locate an account with a cross-reference.
- Select the check box for the account whose details you want to save.
- Click the enabled Save to PDF button.
- Enter a unique report name (no special characters or spaces are permitted) on the dialog that appears and click OK.
ALERT sends you an email when the report is ready.

Notes - If you have created Suppressions for certain Acronym and market combinations, the SIs with the same Acronym/market combination do not appear in your account view report.
- If you have selected a country and security to filter account results, the account view report shows SIs and collaterals SIs that match the country and security combination specified in the filter.
Deleting Cross-Referenced BIA Numbers from an Account
- Use global or account search functionality to locate an account with a cross-reference.
- Select the check boxes in the Acronym field for the cross-references you want to delete or select the Acronym check box to select all accounts in the list.
- Click Delete X-Reference.
- Click Yes on the warning dialog that appears to delete the listed cross-references.

Deleting a cross-reference removes it for all broker/dealers with access to the account. |
Deleting Cross-Referenced BIA numbers From Accounts Where an Investment Manager has Removed Access
- On the account search page, select the BIA # or BIA List option in the Search for drop down box.
- Enter the exact BIA you want to delete into the BIA # field and click Search.
- Select the check boxes in the Acronym field for the cross-references you want to delete, or select the Acronym check box to select all BIAs in the list.
- Click Yes on the warning dialog that appears to delete the listed cross-references.
Note It is only possible to locate BIAs for accounts where access has been deleted by the investment manager by searching for the specific BIA; you cannot find it by searching for the Acronym/Access Code combination.
- Use global or account search functionality to locate a list of accounts.
- Select the accounts to export or click the top-level check box to include all accounts from the list on the report.
- Click the enabled Save to PDF icon.
- Enter a unique report name (no special characters or spaces permitted) on the dialog that appears and click OK.
ALERT sends you an email when the report is ready.
- Retrieve the report on the Reports Run page.
Notes - If you have created Suppressions for certain Acronym and market combinations, the SIs with the same Acronym/market combination do not appear in your account view report.
- If you have selected a country and security to filter account results, the account view report shows SIs and collaterals SIs that match the country and security combination specified in the filter.
