Data Authentication

Data Authentication (DA) is a process that ALERT uses to authenticate the entry, deletion, and modification of ALERT data.

Data Authentication clients have the ability to configure the following data types:

  • Account Settlement Instructions (investment managers only)
  • Broker Access (investment managers only)
  • General Account (investment managers only)
  • Market Activation (investment managers only)
  • Model Settlement Instructions

Clients can set up their users to be Creators, Approvers, or Authorizers. If Data Authentication is configured for both an acronym and a specific data type, a Creator is unable to finalize changes without review and sign-off by an alternate Approver or Authorizer.

If Data Authentication is off, an ALERT user with the appropriate read/write permissions can create, update, or delete a data type without requiring an alternate user to review and approve these actions.

After Data Authentication has been turned on for an Acronym, the Acronym-level settings determine how to processes the creation, updating, or deletion of ALERT data types. All data types, except Settlement Instructions, can be configured with the following Data Authentication levels:

  • None
  • 2 Level (Creator and Approver)
  • 3 Level (Creator, Approver, and Authorizer)

By default, (since 2009 all NEW clients) Model and Account Settlement Instruction changes will require at a minimum ‘2 Levels’ of Data Authentication for F/X, Cash and Derivative instructions. All other Data types do not require Data Authentication by default.

Note
Once Data Authentication is turned on for an organization, it cannot be turned off.

You can choose two or three authentication levels:

  • Creation and approval
  • Creation, approval, and authorization

The Data Authentication functionality has three roles:

  • A creator enters data, such as creating an account.
  • An approver is the first level of data control.
  • An authorizer is the second level of data control.

Using the ALERT Data Authentication tile within MyDTCC, data authenticators control the roles applied to users and the number of levels of authentication required.

This section of the home page lists the number of tasks in each queue ready for review and action. Click a linked total to open the Data Authentication page in the corresponding queue. The queues you can access depend on your role in the Data Authentication process and the type of data you can create, approve, or authorize. If you do not have permission to access a queue, it is not available in the menu.

Note
DTCC highly recommends that you promptly action any pending items in your Data Authentication queues. You should clear any pending items from your Data Authentication queues prior to using any ALERT release.

Creator - Viewing and Submitting Items

This list displays the total number of items an Approver or Authorizer rejected. Click a link to view details associated with a change to the settlement instruction. You can modify and resubmit an item for approval, or remove (discard) the item from your queue.

  1. Select the item in the queue you want to review.

    The view pane displays an edit screen containing the rejected changes. It also contains buttons to submit the item to the Approver queue, discard it, and view associated notes.

    Note
    You can edit all items unless the action is Activate/Inactivate Settlement Instruction or Upload.
  2. Entering notes (optional)
    1. Review changes in the view pane.
    2. Click Notes.

      The Notes and History page opens, displaying the reject reason, any notes, and an audit trail.

    3. Enter a note.
    4. Click Close.
  3. Modifying data:
    1. Modify data as needed in the view pane.
    2. Click Submit.

      ALERT moves valid data to the Approver queue.

Approver - Approving or Rejecting Items

This list contains new, modified, and deleted items awaiting your approval. Click the link to view the selected general account, settlement instructions (SI), confirm delivery, broker access data, or market activation items. You can either approve an item or reject it to send it back to the Creator queue for review.

  1. Click the item to view its details.

    The changes in the item appear in a view pane. The pane also contains buttons to authorize or reject an item, and view any associated notes.

  2. Review changes, marked in green text.
  3. Enter notes (optional).
    1. Click Notes.

      The Notes and History page appears. It displays any notes and the audit trail.

    2. Enter notes.
    3. Click Close.
  4. Approve or reject:
    1. Click Approve to accept changes.

      Depending on the level required Data Authentication, ALERT either applies the data or moves it to the Authorizer queue.

    2. Click Reject to disapprove the changes and open the Notes and History page.
      1. Select a reject reason.
      2. Click the check box to designate the item as high priority.
      3. Enter notes.
      4. Click Save to send the item to the Creator queue.

Authorizer - Authorizing or Rejecting and Item

This queue contains pending authorization. Click the link to view details of the selected item. You can either authorize an item or reject it. Rejecting an item sends it back to the Creator queue.

  1. Select the desired item from the queue.

    The changes in the item appear in a view pane. The pane also contains buttons to authorize or reject an item, and to view any associated notes.

  2. Review changes, marked in green text
  3. Enter notes (optional):
    1. Click Notes.

      The Notes and History page displays any notes and the audit trail.

    2. Enter notes.
    3. Click Close.
  4. Authorize or reject:
    1. Click Authorize to accept changes and apply the data.
    2. Click Reject to disapprove the changes and then click Save to move the item to the Creator queue.

Email Notification Options

Use the Yes and No options to turn on and off a new item or reminder notification and then click Apply to save changes.
